The Role

As a Program Coordinator, you support the operational coordination and smooth implementation of Open Innovation programs, ensuring that activities, stakeholders, participants, timelines, and deliverables are organized and monitored effectively.

Working closely with the Open Innovation Program Manager and the wider project team, you assist in the day-to-day execution of programs, support communication with participants and stakeholders, track tasks and deadlines, and contribute to the successful delivery of key program milestones such as info days, workshops, mentoring sessions, demo days, and pitching competitions.

You act as a key support role for program implementation, ensuring clarity, consistency, documentation, and operational follow-up across all phases of the program lifecycle.

Key Responsibilities

  • Program Coordination & Administrative Support
    • Support the Open Innovation Program Manager in organizing and monitoring program activities
    • Maintain updated task lists, timelines, calendars, participant lists, and internal documentation
    • Follow up on pending actions with internal teams, participants, mentors, evaluators, and external partners
    • Support the preparation of project materials, templates, agendas, minutes, and reports
  • Participant & Stakeholder Communication
    • Act as a support contact point for participants, mentors, evaluators, and program stakeholders
    • Draft and send operational emails, reminders, invitations, and follow-up communications
    • Support onboarding and guidance of participants throughout the program
    • Ensure timely and clear communication across all involved parties
  • Program Implementation Support
    • Assist in the coordination of program phases, including open calls, info days, workshops, mentoring sessions, evaluation processes, and final events
    • Support the collection, organization, and review of applications, submissions, forms, and required documents
    • Coordinate logistics and operational needs in collaboration with Marketing, Events, Innovation, and Tech teams
    • Ensure that program activities are implemented according to the agreed timeline and internal standards
  • Monitoring, Reporting & Documentation
    • Track participant progress, attendance, submissions, KPIs, and program outputs
    • Support the preparation of progress reports, dashboards, meeting notes, and internal updates
    • Maintain organized project folders, databases, and documentation
    • Identify delays, missing information, or operational issues and escalate them to the Project Manager
  • Events & Program Milestones
    • Support the planning and execution of info days, workshops, mentoring sessions, demo days, and pitching competitions
    • Assist with registrations, attendance lists, event flow, speaker/mentor/evaluator coordination, and participant support
    • Support on-site or online event operations before, during, and after each program milestone
    • Contribute to post-event follow-up, feedback collection, and reporting
  • Evaluation & Closing Support
    • Support the coordination of evaluation processes, including evaluator communication, scoring forms, and submission tracking
    • Assist in collecting feedback from participants, mentors, evaluators, and stakeholders
    • Contribute to lessons learned and continuous improvement of program operations
    • Support the preparation of final reports and closing documentation

Required Qualifications

  • Education & Experience
    • Degree in Business Administration, Public Administration, Marketing, Communications, Innovation Management, Project Management or a related field
    • 1-3 years of experience in project coordination, administration, events, communication, innovation programs, or related fields
    • Experience working with startups, universities, public organizations, or innovation ecosystems is considered an asset
  • Hard Skills
    • Proficiency in MS Office (Word, Excel, PowerPoint), MS Teams, and project/task management tools such as ClickUp
    • Excellent written and verbal communication skills in Greek and English
  • Soft Skills
    • Ability to organize information, documents, timelines, and stakeholder communications
    • Strong organizational and coordination skills

    • Ability to work with multiple teams and stakeholders

  • Desirable
    • Experience in Open Innovation programs, hackathons, accelerators, startup programs, university programs, or public sector projects
    • Experience in event coordination or participant management
    • Familiarity with CRM, email marketing, application management, or innovation management platforms
    • Interest in startups, innovation, entrepreneurship, sustainability, or technology
